Transport Trip Profit Calculator: Notebook Profit vs Real Profit

Most truck owners subtract diesel, toll and the driver from the bhada and call the rest profit. Tyres, service, EMI, insurance, permit and the empty return trip quietly eat into it. Enter one trip and see both numbers side by side, the rate you should quote, and your monthly profit.

Notebook profit vs real profit

In most transport offices the trip is written in a notebook: bhada on one side, diesel, toll and driver bhatta on the other. What is left looks like profit. But the truck also wears out tyres on every km, needs service and repairs, and has to pay EMI, insurance and permit every month whether it runs or not.

When these costs are shared over the trips, a trip that shows ₹5,000 in the notebook may leave only ₹1,500, or even a loss. The difference is not visible trip by trip; it shows up at the end of the year as money that never reached the bank.

This calculator shows both numbers for every trip, so you can quote rates that cover the full cost, refuse loss-making loads and see which routes really pay.

How to use the trip profit calculator

  1. 1

Pick the material and a route, or type the km yourself. With a Google Maps key set up, “Find km” fills in the distance.

  2. 2

Choose how the party pays you (per ton, per trip or per km) and enter the weight and rate.

  3. 3

Fill in diesel price, mileage, toll, driver bhatta and loading. For sand, add bharav and dholai.

  4. 4

Open “Hidden costs” and enter your tyre and service cost per km, EMI, insurance, permit and trips per month.

  5. 5

Compare notebook profit with real profit. Use the sliders to see what a diesel hike or a lower rate does.

  6. 6

Switch to “Rate quote” to get the rate for the profit you want, or “Monthly view” for monthly and yearly totals. Share the result on WhatsApp or save a PDF.

Frequently asked questions

How do I calculate my truck’s cost per km?
Add up the full cost of a trip (diesel, toll, driver and helper, loading, tyre wear, maintenance and the trip’s share of EMI, insurance and permit) and divide it by the total km, including the empty return. The calculator shows this as “Cost per km”. For a loaded 10 to 12 wheeler in Gujarat it usually comes to ₹35 to ₹45 per km at today’s diesel price.
Why does the empty return trip matter so much?
An empty return burns diesel, wears tyres and uses the driver’s time, but earns nothing. On a Morbi to Mundra trip the empty return is close to half of the diesel bill. If you usually come back empty, the rate for the loaded side has to cover both directions. Turn off “Empty return trip” only when you are sure of a return load.
What are hidden costs in transport?
Costs that do not come out of your pocket on the day of the trip: tyre wear, servicing and repairs, the truck EMI (hapto), insurance, permit and road tax, a driver’s fixed salary and parking. They are paid monthly or once in a while, so they are easy to forget when you write the trip in the notebook. Spread over the month’s trips they often come to ₹3,000 to ₹5,000 per trip.
How should I quote a rate to a party?
Start from the full cost of the trip, not just diesel and toll. Add the profit you want and divide by the tons (or km). The “Rate quote” tab does this and rounds up to the next ₹5. It also shows the break-even rate: never go below it, because every such trip loses money.
How much does a ₹1 rise in diesel price affect my profit?
Every ₹1 per litre costs you ₹1 for each litre the trip uses. A 460 km round trip at 4 to 4.5 km per litre uses about 110 litres, so ₹1 more diesel takes about ₹110 from each trip, or around ₹2,750 a month at 25 trips. Move the diesel slider under the result to see it for your own trip.
What are bharav and dholai in sand transport?
Bharav is what you pay for the sand itself at the plant or river ghat. Dholai is the carrying or tipping charge paid on some trips. When you sell sand delivered to the site, both come out of the amount the party pays you, so choose “Sand” as the material to include them.
Per ton, per trip or per km: which billing should I choose?
Use whatever you agreed with the party. Per ton is common for tiles, ceramic and sand, and the freight is rounded down to whole rupees. Per trip suits fixed local runs. Per km is used for long or one-off trips. The break-even rate and the quote are shown in the same unit.
Is my data saved anywhere?
No. The calculation runs in your browser and nothing is stored on our server. Your last inputs are saved only on your own device so the page remembers them. If you download a PDF, the trip is sent to our server only to create the PDF, and your name and number are saved only if you choose to add them.
