You do not need technical knowledge to start a software project. But a little preparation before the first conversation saves time, avoids misunderstandings and leads to a more accurate quote. Here is the checklist we suggest to every client — in India or abroad.
1. Describe the problem, not the solution
"We need an app" is a solution. "Our stock never matches and we find shortages on production day" is a problem. Start with the problem and the effect it has on the business. A good development partner will suggest the simplest software that solves it.
2. Write down how the work happens today
Who does what, in what order, using which papers, spreadsheets or WhatsApp groups? A rough list of steps is enough. Mention the exceptions too — the special cases are often where software saves the most time.
3. Collect real examples
Photos of register pages, a copy of the spreadsheet, a sample bill or report you want the software to produce. Real examples explain more than any description, and they show the exact calculations you use.
4. Decide who will use it — and where
- How many people, and what each of them needs to do
- Computer, phone, or both
- Office, field, or site — and whether internet is reliable there
- Which language they are most comfortable with
These answers decide whether you need a web app, a mobile app, or offline software.
5. Separate must-haves from nice-to-haves
List everything you would like, then mark the few features without which the software is useless. Building the must-haves first gets working software into your hands sooner, at a lower cost.
6. Have a budget range and a timeline in mind
You do not need an exact figure, but a range helps your developer suggest the right size of solution. Mention any deadline, such as the start of a financial year or season.
7. Ask the right questions
- Will I own the source code and the data?
- Is the price fixed for an agreed scope?
- When will I see working software, not just designs?
- What support is available after launch, and what does it cost?
- Can I speak to an existing client?
